Referral Management Clerk - Lead Job Overview:
- The Pacific Integrated Appointment and Referral Center (PIRMAC) is a contractor operated centralized services center that serves as the primary point of contact for Puget Sound Military Healthcare System (PSMHS) beneficiaries for Patient Appointing Services (PAS), Referral Management Services (RMS), and Clear and Legible Reporting Services (CLRS).
- Call center that manages inbound and outbound calls from beneficiaries, validates beneficiary eligibility, schedules, cancels, and reschedules patient appointments in order to provide timely access to quality healthcare.
- Provide outbound calls in order to schedule specialty appointments for beneficiaries who have received a direct care specialty referral.
- Patient Appointing Clerk services span a range of functions to include, but not limited to; verifying beneficiary eligibility via the Defense Enrollment Eligibility Reporting System (DEERS) system, updating patient demographic information, and scheduling beneficiary requests for Military Treatment Facility (MTF) primary or specialty care appointments, as well as completing requests for cancellations and appointment rescheduling.
- The work includes completing outbound calls to facilitate the timely scheduling of specialty appointments in support of specialty referrals generated by an MTF Health Care Provider (HCP).
- Appointing services also include outbound calls to facilitate scheduling of preventative health appointments and surgery reminder calls.
- With the expansion of integrated specialty service lines at sister MTFs, appointing agents will serve an important role in scheduling and coordinating appointments with other PSMHS MTFs in order to meet beneficiary health care needs within TRICARE access standards.
- Additional contracted services include processing Secure Message Service (SMS) transmittal requests for appointments, drive-time mapping capabilities in support of specialty care appointing, as well as outbound letters to beneficiaries referred for MTF specialty care.
Duties
- Disposition referrals in accordance with current business practices
- Provide MHS Genesis secure messaging services as required
- Research, to include but not limited to claims, clinical history, and chart notes
- Provide agent coaching for processing errors
- Create and update job aids as needed
- Conduct presentations as needed
- Correct referral processing errors as needed
- Assign tasks, worklists and monitor help queue as needed
- Monitor and maintain agent productivity and metrics
- Answer patient and agent inquiries regarding referrals
- Close expired referrals as directed
- Request chart notes as needed
- Answer each call within 60 seconds of receiving the call
- Utilize resources provided in order to resolve referrals and calls
- Conduct outbound calls as required
- Handle each call received, providing a resolution for the customer
- Other duties as assigned
Referral Management Clerk - Lead Job Qualifications:
- High school diploma or General Educational Development (GED) equivalency
- Minimum of 6 months of medical insurance authorization experience
- 1 year supervisor experience
- Skilled in Microsoft 365 and other software programs
- Must have excellent verbal and written communication skills, and able to communicate effectively with co-workers, clinical staff, and possess customer service skills.
- Ability to critically think, define problems and obtain solutions
- Must be able to obtain clearance to be granted a Common Access Card (CAC).
- 6 months healthcare administrative experience (1 year - preferred)
- 6 months call center experience (1 year - preferred)
- CXONE, MHS Genesis, and other call center software - preferred
- Ability to multi-task and complete assigned duties within deadlines
- Critical thinking skills and attention to detail.
