Position Overview:
The Purchasing Administrative Assistant provides operational and administrative support to the Purchasing and Accounts Payable teams. This role ensures accurate processing of purchasing transactions, maintains system integrity, and supports cross-functional coordination to ensure timely and compliant procurement activities.
Key Responsibilities:
- Process purchasing batches accurately and in a timely manner in accordance with company policies.
- Create, review, and maintain purchase orders (POs), including PO add-ons and revisions.
- Monitor and resolve unapproved additions, discrepancies, and system exceptions.
- Review, reconcile, and process expense reports for accuracy and policy compliance.
- Provide support to the Accounts Payable (AP) team, including invoice matching and issue resolution.
- Maintain and support TrackVia data entry, reporting, and workflow processes.
- Coordinate with internal teams and vendors to resolve purchasing and payment issues.
- Maintain accurate purchasing records and documentation for audit and reporting purposes.
- Provide general administrative and operational support to the Purchasing team as needed.
Required Skills and Abilities:
- Basic computer skills (Excel, Word).
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency with purchasing systems and expense management tools.
- Strong communication and collaboration skills.
Preferred Education and Experience:
- High school diploma or GED.
- Experience supporting purchasing, accounts payable, or finance teams.
- 12 years of experience in warehouse operations.
- 12 years of experience in returns or inventory management.
Required Licensing and Other Certifications:
- Maintain a valid driver's license and satisfactory driving record.
