POSITION TITLE: Fiscal Assistant – Financial Services
HOURLY WAGE: $41.99 - $43.41 per hour and is based upon prior experience (salary is based upon the 2025/2026 salary schedule)
Non-Represented salary schedule – 2025/2026
HOURS: 8 hrs/day, 5 days/wk, 260 days/yr 8:00 am – 4:30 pm (anticipated)
BENEFITS: Employees anticipated to work 630 hours in a school calendar year may be eligible for Medical, Dental, Vision, Long-term Disability Insurance, Life Insurance, Pension, VEBA, and 403(b).
LOCATION: District Office REPORTS TO: Executive Director of Financial Services
SUMMARY: The Fiscal Assistant will provide support to the Executive Director of Financial Services. The position is responsible for performing a variety of technical accounting duties to include processing, evaluating and recording various transactions, maintaining, balancing, reconciling and adjusting accounts, preparing and maintaining a variety of financial and statistical records, reports and files; and performing a variety of accounting and financial management support functions, with a high attention to detail and accuracy and with minimal supervision in situations as appropriate. The position requires exemplary customer service and the ability to consistently project a professional and positive image of the office and the District. The position has a focus in responsibility over ASB funds, including processing purchase orders, vouchers and warrants, maintaining accounts receivable, grant accounting, journal entries, preparing reports, assisting in preparation of budget exhibits and maintaining fiscal files, In Touch receipting, local revenue transmittal and reconciling bank accounts.

ESSENTIAL DUTIES AND RESPONSIBILITIES This list of essential job functions is not exhaustive and may be supplemented as necessary. Depending upon individual assignment, the employee may perform all or a combination of several of the following duties. (Other duties may also be assigned.)
- Maintain and process accounts receivable/invoices, receipting and depositing revenues through the District’s depository accounts and to the Snohomish County Treasurer for all funds
- Manage the banking portal for District authorized bank accounts and reconcile to revenue transmittals
- Prepare grant claims; initiate queries, develop spreadsheets, prepare and enter journal entries, corrections, adjustments, and generate financial software system reports for district, state and federal programs
- Manage the District’s In Touch receipting point-of-sale system: add/change/delete users, create account codes/items, train and support District users, primary interface with In Touch personnel
- Assist with oversight of the accounts payable process, including internal controls, segregation of duties, serving as a back-up for the warrant issue and P-card process and troubleshooting when problems occur
- Audit invoices, expense and travel claims, reconcile vendor statements, verify payment, process purchase orders, vouchers, data entry, filing, mailing, and produce information for Board approval of warrants, with a primary focus in the ASB fund area, but with capacity to also fulfill this responsibility, or serve as a back-up, for other District funds as needed
- Provide budget and purchasing information to directors, building administrators, and fiscal secretaries
- Know and follow District policies and procedures and state accounting manual procedures
- Take initiative towards work tasks and projects and foster a collaborative team environment
- Provide input for updating business practices, procedures, and other guidance to schools and departments
- Assist in planning and conducting fiscal secretary workshops or other finance sponsored trainings
- Assist with implementation of new software adopted by the District for accounting/financial functions
- Assist with audit requests or public record requests as needed
- Assist in applying appropriate filing and record retention requirements over department records
- Actively utilize software such as Microsoft Office (Word, Excel), WSIPC/Skyward, OSPI’s EDS software, Google, Zoom, BoardDocs, and other software programs the District may utilize now or in the future
- Provide customer service to staff and community, in person, by telephone, and email
- Demonstrate professionalism through punctuality and minimal absences
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of WSIPC/Skyward financial software, school district accounting and coding Knowledge of computer data entry processes and accounting functions Ability to successfully deal with vendors regarding billing and payment Ability to establish and maintain positive and collaborative team environment relationships in an office situation with frequent interruptions and changing tasks and priorities Ability to apply District policies and requirements with good judgement in a variety of situations Skill to organize, set priorities, meet deadlines, attend to detail and follow through on assigned tasks Skill in the operation of standard office equipment, office software, and ten-key adding machine Ability to exercise strong analytical skills in the application of bookkeeping and accounting principles Ability to compile data and financial reports with a high attention to detail and accuracy Ability to handle confidential matters, maintain high standards of professionalism, and communicate effectively in verbal and written form Ability to compose, edit, and format documents with correct grammar, spelling and punctuation Willingness to engage in professional development, and continuous improvement processes to upgrade skills and maintain a high level of quality work and efficiency
Requirements
EDUCATION and/or EXPERIENCE: Associates degree or equivalent in business, accounting, or related functions, and two (2) years’ experience of recent fiscal or accounting related work, preferably in a public school setting. Experience beyond the two (2) year requirement that provides the required knowledge, skill, and ability may substitute for all or part of the degree requirement at the District’s discretion.
