Designer Relations & Sales Operations Coordinator
Full-Time Dallas, TX In-Office with Light Flexibility
Claire Crowe Collection is a high-end, design-driven metalwork studio serving interior designers and architects nationwide. We’re hiring a Designer Relations & Sales Operations Coordinator to own the customer experience from first inquiry through purchase—managing quotes, custom details, and ongoing follow-up across a high volume of designer projects.
You will be the face and heartbeat of our client experience. Your work helps designers feel cared for, keeps complex projects on track, and supports repeat business and long-term trade relationships. This role requires exceptional attention to detail, polished communication, and the ability to stay organized across many active deals.
What You’ll Do
Client Service & Communication
Respond same-day to email inquiries, phone calls, website form submissions, and marketplace inquiries (1stDibs/Chairish)
Guide clients through product options, pricing, lead times, and custom possibilities
Approve and onboard new trade accounts; send welcome packets and materials
Ask and track how clients discovered the brand for marketing insights
Quoting, Invoicing & Order Flow
Build clear, accurate quotes for retail and trade clients (often multiple rounds)
Clarify all custom details to ensure clean handoff to production
Turn approved quotes into clean invoices and orders across QuickBooks, Shopify, CRM (ActiveCampaign), and tracking sheets
CRM Management & Follow-Up
Maintain a clean, accurate pipeline for all pre-sale activity and trade accounts
Identify and follow up on open quotes, open invoices, and dormant opportunities
Track important data points, including customer origin and project stage
Designer Outreach (Light, Thoughtful)
Research and log prospective designer accounts
Send warm, personalized outreach emails aligned with our brand
Coordinate samples or catalogs for interested designers
You’ll use our AI-based tone and writing tools to stay on-brand and efficient—supporting your communication, not replacing your judgment
Requirements
Qualifications
Required
3–5 year’s experience in a client-facing, detail-heavy role
Clear, polished writing and communication skills
Experience with CRM systems (ActiveCampaign, HubSpot, Salesforce, etc.)
Excellent organizational skills and comfort managing many active projects
Natural relationship builder with a warm, service-driven approach
High attention to detail; enjoys tracking information in CRMs and spreadsheets
Comfortable using AI tools for writing and workflow efficiency
Preferred
Experience in interior design, luxury furnishings, or custom fabrication
Familiarity with trade programs or designer accounts
Experience preparing quotes or coordinating custom product projects
